Prominent family seeks a professional, experienced, and discreet Chief of Staff to manage all aspects of the family’s properties and staff. This position operates out of Florida, with flexibility to travel to properties in New York, and manages all non-financial assets of the family estate including domestic staff members, multiple residences, etc. Effective communication, organization, and collaboration skills are required as daily tasks and priorities are constantly shifting.
The ideal candidate will have prior experience managing a large staff in multiple locations. The Chief of Staff must be comfortable with being hands-on, heavy calendar management and coordination of various moving parts inclusive of both principals, children, and staff members. The most successful candidate will be a team player operating with extreme flexibility and 24/7 on-call availability.
Responsibilities include but are not limited to:
• Managing the day-to-day household functions of several residences
• Be able to lead and manage domestic staff including: Property Managers, Housekeepers, Personal Assistants, etc.
• Liaison between principals and domestic staff and delegate accordingly
• Coordinating all vendors, contractors, staff members, and business connections on behalf of the Principals
• Coordinating all communications between other offices, residences and various administrators
• Implementing estate-wide systems including but not limited to, operating manuals, punch lists, household supply lists, etc.
• Planning and assisting with regular entertaining for private & social events; ensuring seamless execution at events as needed and upon request
• Strong skills with the ability to formulate and adhere to budgets; negotiating vendor contracts
• Any and all additional Chief of Staff responsibilities as they arise and upon request

• Strong command of English language; superior communication skills, both written and verbal
• Excellent references required from both current and previous employers
• Minimum 7-10 years prior experience working for private families in a similar capacity as COS, COO, Estate Manager, etc.
• Knowledge & experience of HR practices; sourcing training, on-boarding, scheduling and managing a staff REQUIRED
• Exceptional organizational skills and dedication to responsibilities; proactive with an above and beyond attitude; dedication to the service and success of the principals
• Ability to exercise quick and accurate judgment and work well in high-stress, high-stakes environment
• Effective and proactive problem-solver; able to analyze situations thoroughly in order to anticipate problems before they arise
• Ability to manage executive / administrative and domestic teams, superb delegating skills required
• Highly meticulous, ability to manage big picture and small details simultaneously
• Adept in working in fast-paced, ever-changing environments where the utmost discretion and confidentiality are required
• Computer savvy with proficiency in both Mac and PC systems; excellent Mac and iPhone skills REQUIRED
