Prominent New York-based investment management firm seeks an energetic and efficient Personal Assistant to provide administrative support to one of the Co-Founders. The position requires excellent time management skills and the ability to multi-task. This role consists of a five-day workweek of Monday through Friday, roughly 8:30am-6:30pm, with a need for overriding flexibility and a willingness to work additional hours upon request. The ideal candidate will have experience working in formal and informal settings and a willingness to take on any task, no matter how big or small. The Personal Assistant will work closely with the Executive Assistant on business and personal calendar management and phone coverage. Thus, the candidate must be able to work well independently or as part of a team. The ideal candidate is flexible, detail-oriented, and reliable.

Primary responsibilities include, but are not limited to:
• Assisting the Executive Assistant with business and personal calendar management on behalf of the Principal
• Overlooking incoming and outgoing correspondence including phone, mail, and email
• Arranging and facilitating daily business and personal appointments
• Partnering with Member Services department on invoices and bill payments including the monthly preparation of Amex and MC expense reports / cash reports
• Providing meeting support including logistics and audio set up
• Liaising with contractors at the family’s residences; overseeing household maintenance and repairs
• Preparing various board meeting materials
• Updating and maintaining contact information; creating custom reports as needed
• Coordinating domestic and international travel logistics with detailed itineraries
• Communicating with IT on tech-related projects and troubleshooting technological issues
• Working with benefits vendors on processing claims for the Principal and family
• Running errands including personal pick-ups and grocery shopping
• Transitioning into additional roles as need arises

• Strong command of English language; outstanding written and verbal skills
• Excellent references required from both current and previous employers
• Minimum 4-year degree from accredited college or university REQUIRED
• Minimum 2-5+ years related experience working in a similar role(s)
• Exceptional organizational skills and dedication to responsibilities; prioritization and efficiency a must
• Highly organized and conscientious; able to handle a multitude of personalities
• Strong flexibility with tasks and projects; ability to work with last-minute changes in schedule
• Computer and technology savvy with proficiency in both Mac systems
• Positive attitude; strong willingness to adapt to an ever-changing ad fast-paced environment
• Polished, poised and professional in both mindset and manor; use of utmost discretion at all times
• Legally able to work within the United States
