Description:

Private New York City family seeks a dynamic, proactive, and detail-oriented Estate Manager to oversee the day-to-day operations, management, and maintenance of several properties including their main residence in TriBeCa. This is a five-day flex, Monday to Friday schedule with overriding flexibility for extended hours as needed and requested. Availability 24/7 to address pressing needs is required. This individual will act as gatekeeper to the Principals and manager all aspects of their properties and households. Traveling to out of state properties is required with this position. Responsibilities for this role include but are not limited to: staff management, property management and facilities management in all locations, working with vendors and contractors for all maintenance and renovations projects, event coordination and additional responsibilities. Strong leadership skills are essential, as this individual must onboard, train, manage, and inspire many subordinate members of the domestic staff. The ideal candidate will have a strong background in facilities management and property management with the ability to oversee repairs and large-scale renovation projects.

Job responsibilities include, but are not limited to:
• Serving as an all-around gatekeeper to the Principal;
• Providing hands-on approach to daily maintenance and management of household
• Managing all vendor and contractor relationships; overseeing all deliveries, installations, and general maintenance of all residences
• Responsible for onboarding, training, and supervising of all household staff including scheduling, payroll and PTO
• Overseeing all building and household systems including HVAC, Lutron, and other IT systems
• Ensuring the residence is in pristine guest-readiness condition at all times
• Coordinating and planning events; securing venue and hiring staff
• Managing rental properties and tenants including rent collection, bill and utility payments
• Interfacing with accountants; strong bookkeeping skills with the ability to formulate and adhere to budgets; synthesizing, compiling, and preparing information
• Managing special projects as needed and per request
• Additional general Estate Manager duties upon request; constant need for overriding flexibility and exceeding expectations
 
 
Requirements:

• Strong command of English language; outstanding writing and verbal skills
• Excellent references required from both current and previous employers
• Minimum 5 - 7+ years related experience working as an Estate Manager; hospitality background a HUGE PLUS!
• Bachelor’s degree from an accredited College or University preferred, but not required
• Knowledge & experience of HR practices; sourcing, training, on-boarding, scheduling and managing a staff REQUIRED
• Exceptional organizational skills and dedication to responsibilities; prioritization and efficiency a MUST; self-starter who can work with little direction with ability to multi-task
• Polished, poised and professional in both mindset and manor; use of utmost discretion at all times
• Knowledge of and experience with all residential building systems including HVAC, Boiler
• Self-motivated and able to work independently as well as collaboratively as part of a team
• Flexibility in scheduling with willingness to work long hours and overtime as needed
• Outstanding problem solver; resourceful and quick-thinking
• Adept in remaining calm and composed under pressure; not easily frazzled
• Technology savvy with proficiency in both Mac and PC systems, Microsoft Office Suite and smart home systems; adept in operating smart home technology and accompanying security systems
• Valid US Passport; ability to travel domestically and internationally as needed upon request
• Legally able to work within the United States
