Description:

Private family seeks a proactive, experienced and enthusiastic hands-on Property Manager to help run and maintain their main residence, guest house, pool house, out buildings, two large horse barns and their expansive property in Wellington. This is a 5 day flexible schedule with additional flexibility necessary during high season.


Job responsibilities include, but are not limited to:
• Troubleshoot all building issues which arise and implement solutions in an efficient and cost-effective manner
• Inform client of issues or proposed work, plan a suggested course of action; once work is approved, schedule work at the convenience of client, being sure to minimize any disruption
• Provide protection as needed for projects in preparation for work. Work alongside with vendors to facilitate an efficient cost effective outcome
• Plan and oversee preventative maintenance on all home systems and equipment as needed to maintain effectiveness and prolong life expectancy
• Maintain an emphasis on HVAC and technology to provide a comfortable living environment
• Check and maintain plumbing, HVAC components, electrical, painting and appliances. Order and replace items as needed
• Provide reporting on property maintenance activities and maintain detailed records for equipment and home details
• Identify, prioritize, perform, and coordinate work orders at the Florida properties to maintain value and provide healthy and safe environments
• Single point of contact for principals for all estate related matters
• Expert project management including: receiving & comparing bids, making intelligent and thoughtful recommendations, evaluating performance of vendors and close monitoring of all visitors to the estate
• Manage vendors, such as gardeners, and potential construction projects
• Detailed ongoing organization and maintenance, inside and out
• Regular daily checks throughout property to make sure household is running seamlessly and without interruption to the principals
• Handling of regular errands
• Performing research on household items as needed
• Obtain multiple bids on larger projects and create bid packages for vendors
• Work with security and technology services, manage communication, needed access/services
 
 
Requirements:

• Strong command of English language; superior communication skills, both written and verbal
• Excellent references required from both current and previous employers
• Minimum 7+ years related experience working in a similar role Managerial for a private home or family
• Exceptional organizational skills and dedication to responsibilities; able to multi-task, as well as self-motivate
• Ability to effectively organize time and projects while handling multiple priorities
• Proficient in Microsoft Office suite
• Continue education through subscriptions, trade shows, classes and experiences outside of work
• Self-perform preventative maintenance when possible, balancing when to oversight and self-perform
• Maintain vendor status, good relationships and bring in new vendors when necessary
• Timely invoice review and recommendation for payment
• Must be able to complete and maintain regular documentation of projects, invoices, vendor information, etc.
• Ability to work with hand tools and power tools as needed
• An understanding of how to handle hazardous materials. A high value is placed on safety and security, with training in OSHA and first aid/responder preferred (provided if not existing)
• Comfortable being on your feet for long periods of time
• Ability to adjust to variable interior and exterior conditions throughout the year in various climates
• Ability to work at heights on occasion and the mobility and flexibility to lift and carry heavy objects (at least 50 lbs)
• Comfortable with and adept at learning new technology interfaces and software; ability to use mobile devices for coordinating and reporting work performed
• Strong time management, organizational, and prioritization skills
• Excellent listening, interpersonal, written and verbal communication skills.
• Proactive and positive attitude, highly motivated, self-directed with ability to work successfully with minimal daily supervision
• Demonstrated flexibility in adapting to new and varying situations
• Coordination of vendors directly approached by clients
• Build relationships with household employees (barn manager, grooms, trainers, house manager, cleaning personnel, etc.)
• Weekly/Monthly meetings with property management support team with frequent liaison as needed on issues on note
• Flexibility in scheduling with willingness to work long hours and overtime as needed for special occasions and events
• Equine experience preferred
• Prompt, respectful, responsive, discrete and mature; eager to prove him or herself in a long-term position for a single family
• Valid Drivers License; confident driver with zero points on license
• Legally able to work in the United States for any employer
