Private New York City client seeks an experienced, organized, and detail-oriented Executive Personal Assistant to assist with daily tasks and scheduling. The Executive Personal Assistant’s primary responsibilities include heavy calendar management, extensive travel coordination, and acting as the primary point of contact on behalf of the Principal. This is a Full-Time position, roughly 8:30am to 6:30pm for three days during the week, and 8:30am to 8:00pm another three days of the week. This position requires OVERRIDING flexibility and a willingness to work additional hours as needed. This role involves extensive domestic and international travel, which will consist of 50% business and 50% pleasure. Overall the candidate will travel roughly 70% of the time. The ideal candidate is flexible, self-motivated, and calm under pressure.

Job responsibilities include, but are not limited to:
• Overseeing a complex calendar and overlooking correspondence via email, phone, and mail
• Liaising with vendors, venues, caterers, clients, and other contacts
• Coordinating extensive domestic and international travel arrangements with detailed itineraries
• Looking over travel logistics including visa/passport renewals, ground transportation, and hotel bookings
• Handling special requests, projects, and related duties as needed
• Maintaining contacts for executive management; communicating between corporate offices
• Preparing and submitting expense reports on a monthly basis
• Assisting in meeting, planning, and any preparation work needed; drafting agendas, calendar invites, invoices etc.
• Transitioning into additional roles as need arises

• Strong command of English language; outstanding writing and verbal skills
• Minimum 10+ years related experience working for a Private Family or a CEO in Finance
• Minimum 4-year degree from accredited college or university is REQUIRED
• Excellent references required from both current and previous employers
• Exceptional organizational skills with attention to detail; prioritization and efficiency a must
• Computer and technology savvy with proficiency in both Mac and PC systems
• Poised and professional in both mindset and manor; use of utmost discretion at all times
• Positive attitude; able to work with difficult personalities and flourish in a fast-paced environment
• Flexibility in scheduling; willingness to work long hours and overtime as needed
• Valid passport is a MUST; willing to travel extensively along with the Principal
• Legally able to work within the United States
