Prominent New York City company seeks a proactive and extremely organized and detail-oriented Executive Assistant to provide support to the Founder and CEO and work with his direct assistant on a daily basis. This position consists of a five day workweek, Monday through Friday roughly 8:30am to 6:00pm with overriding flexibility for longer hours as needed upon request. The supporting EA is an integral part of the team and needs to be extremely proactive in anticipating and adapting to the needs of the principal and those in need of his time. The ideal candidate must be seasoned and experienced in working in an Executive Office, handling a wide range of administrative related tasks and be able to work independently and confidently under pressure.

The role of the Executive Assistant will be to support both the principal and work in tandem with a lead assistant in managing the day to day administrative functions of the office. This position requires a heavy amount of calendar management, phone and email correspondence and overall daily needs of the principal. The ideal candidate will thrive in an environment that is fast paced and ever-changing with an upbeat and positive attitude.

Job responsibilities include, but are not limited to:
• Managing an ever-changing calendar, prioritizing and facilitating appointments
• Handling all logistics associated with meetings, appointments and conferences, etc.
• Anticipating incoming emails and phone calls with proper call screening, forwarding, and message taking
• Serving as all around gatekeeper to the Executive
• Coordinating domestic and international travel for the principal. Corresponding with the family office to ensure seamless transition between business and personal
• Scheduling meetings and appointments; ensuring CEO has all relevant materials
• Creating business expenses reports and reconciling credit card statements
• Organizing and maintaining company files
• Additional general Executive Assistant duties upon request; constant need for overriding flexibility and exceeding expectations

• Strong command of English language; outstanding writing and verbal skills
• Bachelor’s degree REQUIRED
• Excellent references required from both current and previous employers
• Minimum 2 - 3+ years related experience working as an EA or similar role
• Exceptional organizational and time management skills and the ability to multi-task and prioritize work
• Computer and technology savvy with proficiency in Mac, PC and full Office Suite, Calendaring experience a MUST
• Polished, poised and professional in both mindset and manor; use of utmost discretion at all times
• Flexibility in scheduling; willingness to work long hours and overtime as needed
• Ability to operate with a high level of integrity for handling sensitive issues and maintaining complete confidentiality
• Willingness to adapt to an ever-changing and often unstructured environment; ability to manage challenging personalities and high-stress environments
• Capability to work both independently and as part of team environment, willing to take direction from C-Level Executive and additional support staff
• Legally able to work within the United States
