Prominent Gramercy-based family, with two children, seeks an experienced and professional House Manager / Personal Assistant to oversee and manage the family’s various residences and assist the Lady of the Residence with all of her personal endeavors. This position will consist of a five-day flex schedule, and the candidate must understand the need to be available and on call 24/7. Although there will be set hours in the house, the expectation is that the candidate will work the remotely as needed. This is a full-time, live-out position with need for overriding flexibility with hours and scheduling, as well as occasional travel to the family’s additional residences and worldwide.

The ideal candidate will have ample prior experience managing multiple high-net-worth estates, preferably with hotel management experience. A background in working in the fashion or arts world is strongly preferred, as the Lady and Gentleman are avid art collectors.

As a House Manager, the candidate will be responsible for managing all NYC and Southampton staff, with a strong emphasis on organization and property maintenance, while the family is in-residence and during the off-season. This candidate must also be able to work seamlessly alongside a large domestic team as well as working in tandem with additional Executive and Personal Assistants.

As a Personal Assistant to the Lady of the Residence, the candidate will be responsible for all calendaring and scheduling as it pertains to appointments, social events, travel arrangements, and wardrobe management, while also responsible for maintaining the children’s schedules to an extent. This may include: coordinating school activities, sports, play dates, doctors’ appointments, and assisting with homework.

Primary duties include, but are not limited to:
• Scheduling and managing the calendar for all facilities maintenance (ie. monthly/quarterly/annual inspections of elevator, air conditioning systems, etc.)
• Liaison between all contractors, architects, and decorators amongst all properties
• Overseeing the delivery of furniture and other decorative items that have been ordered for the residences
• Consulting with the accountant weekly and on an as need basis to ensure that all bills and staff are being paid
• Personal shopping, wardrobe management, running errands, and concierge work
• Managing all vendor and contractor relationships including calendaring, accounts payable & project management
• Answering calls and responding to emails from vendors, residents, and co-workers on various issues
• Assisting with calendar planning, scheduling, travel coordination, and 
meeting logistics for principals and children
• Light pet care for family’s two dogs; feeding, walking, administering medication, scheduling vet appointments
• Working closely with the event planner on all event production for social events or dinner parties
• Working with the travel agent and private pilot to coordinate all travel arrangements
• Supervising repairs and renovations within the home, as well as additional home-related projects


• Strong command of English language; conversational or FLUENCY IN SPANISH OR PORTUGUESE MUST; superior communication skills, both written and verbal
• Excellent references required from both current and previous employers
• Minimum 3-8+ years related experience working in a similar role for a private home or family; hotel management experience a MAJOR PLUS
• Background and astute understanding of fashion, arts, or another creative industries REQUIRED
• Exceptional organizational skills and dedication to responsibilities; must be able to manage a team of people while juggling multiple other tasks
• Flexibility in scheduling with willingness to work long hours and overtime as needed; must be on call 24/7 with the expectation that you will be working fixed hours in the house and the remainder of the time working remotely from home as needed
• Experience working in high stress, fast-paced environments where the utmost discretion and confidentiality are required
• Able to work well with challenging personalities; must know how to work both independently and as part of a domestic team as you will be managing the staff at both residences
• Computer savvy with proficiency in both Mac and PC systems, including Office, Internet, email, and smart phones
• Adept in operating smart home technology, HVAC, elevator maintenance and accompanying systems
• MUST be willing and able to work around, and care for pets of all breeds, shapes and sizes (i.e. walking, feeding, administering medicine, scheduling vet appointments;) two French Bulldog puppies in residence
• Valid Driver’s License a plus; clean driving record with zero points
• Valid Passport required; willing and available to travel with the family both domestic and abroad as needed
• Legally able to work within the United States
