Description:

Private New York City-based family office seeks a detailed-oriented, organized, proactive and energetic Office Manager / Executive Personal Assistant to provide administrative support to the Founder and additional Executives. This position consists of a Monday through Friday work schedule, roughly 9:00am-5:30pm, with overriding flexibility for longer hours. The ideal candidate will be highly motivated, responsible, professional who thrives on details with strong organizational skills, and enjoys working independently as well as part of a team.

Job responsibilities include, but are not limited to:
• Acting as first point of contact for all family office relationships
• Maintaining a clean, organized, meticulous reception area at all times
• Greeting clients and making sure the overall comfort of all clients upon arriving and leaving the office
• Maintaining a busy and ever-changing calendar with constant communication and follow-up
• Coordinating travel arrangements with detailed itineraries for Founder and Executives
• Overseeing inventory of office items; managing and restocking supplies
• Responsible for incoming and outgoing electronic correspondence
• Arranging and facilitating daily business and personal appointments
• Handling distribution of mail, copying, faxing, and major filing projects
• Managing all service providers and vendor relationships
• Maintaining and updating the contact database
• Handling various projects as needed upon request
• Supervising all IT infrastructure; ensuring timely resolution of any issues
• Additional general Office Manager / Executive Personal Assistant duties upon request; constant need for overriding flexibility
 
 
Requirements:

• Strong command of English language; outstanding writing and verbal skills
• Minimum 3+ years related experience supporting Executives or similar role
• 4-year degree from an accredited College or University REQUIRED
• Excellent references required from both current and previous employers
• Exceptional organizational and time management skills and the ability to multi-task and prioritize work
• Strong attention to detail a MUST
• Ability to operate with a high level of integrity for handling sensitive issues and maintaining complete confidentiality
• Computer and technologically savvy with Mac and PC
• Polished, poised and professional in both mindset and manor
• Flexibility in scheduling; willingness to work long hours and overtime as needed
• Valid Driver’s License; confident driver with zero points on license
• Legally able to work within the United States
