Description:

Prominent New York City wellness company seeks a hungry, energetic, and detail-oriented Executive Assistant to provide support to three Vice Presidents. The position is based out of the company’s Chelsea corporate office and maintains a workweek of Monday – Friday, roughly 9:00am – 6:00pm with flexibility and willingness to work additional hours as needed and upon request. The job requires excellent time management skills and the ability to multi-task while handling a wide range of administrative related tasks.

Job responsibilities include, but are not limited to:
• Maintaining a busy and ever-changing calendar for each supervisor
• Overseeing internal and external correspondence
• Planning meetings, presentations, and preparing any necessary materials
• Coordinating conference room usage and ensuring supervisor’s availability
• Anticipating incoming emails and phone calls with proper call screening, forwarding, and message taking
• Coordinating heavy domestic and international travel arrangements with detailed itineraries and expense reports with Concur
• Creating weekly agenda summaries
• Organizing and maintaining company files
• Managing special projects and providing administrative support as needed and per request
• Additional general Executive Assistant duties upon request; constant need for overriding flexibility and exceeding expectations
 
 
Requirements:

• Strong command of English language; outstanding writing and verbal skills
• Minimum 4-year degree from accredited college or university is REQUIRED!
• Excellent references required from both current and previous employers
• Minimum 3 – 5+ years related experience working as an Executive Assistant or similar role
• Exceptional organizational and time management skills and the ability to multi-task and prioritize work
• Computer and technology savvy with proficiency in MS Office, Google Suite, and Concur
• MUST BE health conscious and interested in the health and wellness industry
• Polished, poised and professional in both mindset and manor; use of utmost discretion at all times
• Flexibility in scheduling; willingness to work long hours and overtime as needed
• Ability to operate with a high level of integrity for handling sensitive issues and maintaining complete confidentiality
• Willingness to adapt to an ever-changing and often unstructured environment; ability to manage challenging personalities and high-stress environments
• Valid Driver’s License; confident driver with zero points on license
• Legally able to work within the United States
