Description:

Private New York family seeks a dynamic and experienced Personal Assistant / House Manager to assist with the daily care and maintenance of their residence as well as oversight of the family’s additional projects. The position consists of a full time, 5-day work week, Monday through Friday 8:30am to 6:00pm with overriding flexibility and availability to work extended hours and weekends when necessary. The position will require the candidate to travel domestically to the Principal’s second residence when required.

A 24/7 mentality with a “no task is too big or too small” attitude is required to succeed. The ideal candidate MUST be adept in all areas of organization, travel arrangements, calendaring, correspondence, planning events, and overseeing vendors and contractors. Additionally, the ideal candidate will be responsible for oversight of project management, staff onboarding and issues and act as an additional liaison between the family and the in-residence staff.

Primary responsibilities include, but are not limited to:
• Acting as the family’s Personal Assistant and House Manager
• Maintaining a busy and ever-changing calendar with constant communication and follow-up
• Screening all correspondence via email and phone
• Overseeing all elements of hospitality, food and beverage service within the residence daily
• Coordinating travel arrangements from New York residence to Florida residence for all family members
• Liaising with the office of the Mr. of the residence
• Packing and unpacking when traveling in between residences
• Personal shopping, running errands, and concierge work
• Managing additional household staff including managing & supervising contractors, housekeepers and other domestic staff
• Managing all vendor and contractor relationships including calendaring, accounts payable, project management, etc.
• Oversight of additional aspects of management and organization, including closets, pantries, storage areas, etc.
• General management and organization of residence, with attention to special projects as needed and per request
• Additional Personal Assistant / House Manager responsibilities as needed
 
 
Requirements:

• Strong command of English language; outstanding writing and verbal skills
• Excellent references required from both current and previous employers
• 4-year degree from accredited university
• Minimum 5 – 15+ years related experience working in a similar role for a private home or family
• Must be physically agile and dynamic
• MUST be comfortable working around dogs
• Detail oriented with exceptional organization and task management skills
• Experience working in high stress, fast-paced environments where the utmost discretion and confidentiality are required
• Proficiency in PC, Mac and Microsoft Office
• Flexibility in scheduling with willingness to work long hours and overtime as needed
• Proactive and driven attitude; willingness to succeed at all costs
• Exceptional organizational skills and dedication to responsibilities
• Valid Driver’s License; confident driver with zero points on license
• Valid Passport; willingness to travel alongside the family domestically
• Legally able to work in the United States
