Prominent company in California seeks a hungry and driven Administrative Assistant to help support the Tax Department at their San Jose office. This position consists of a five-day workweek, from Monday to Friday, approximately 8:30am to 5:30pm with overriding flexibility as needed upon request. The positions primary responsibility will be assembling tax return packages, e-file processing and other tax related responsibilities. This position requires someone with the ability to work with minimum oversight and able to complete projects in a timely manner. Must also be available to provide additional support to second office in San Francisco as needed.

Job responsibilities include, but are not limited to:
• Compiling tax return packages for client and government filing; as well as e-filings
• Creating financial reports for management
• Managing, organizing and updating database
• Preparing and coordinating weekly meeting schedules
• Compiling, processing, and mailing tax documents to clients
• Participating in meetings, conferences and project team activities
• Order supplies when needed
• Performing general administrative duties; copying, mailing and filing
• Additional Administrative Assistant duties as needed and requested

• Strong command of English language; excellent written and verbal skills
• Bachelor’s degree from an accredited 4 year College or University
• Excellent references required from both current and previous employers
• Minimum 5-8+ years related experience working in administration
• Computer savvy with proficiency in both Mac and PC systems; Exceptional skills in Microsoft Word, Excel and PowerPoint
• Effective and proactive problem-solver; able to analyze situations thoroughly to anticipate problems before they arise
• Exceptional organizational skills and dedication to responsibilities; prioritization and efficiency required at all times
• Adept in working in fast-paced, ever-changing environments where the utmost discretion and confidentiality are required
• Polished, poised and professional in both mindset and manor
• Legally able to work within the United States
