Description:

Private company seeks an efficient and driven Weekend Overnight Receptionist to provide administrative support to the head of the company overnight. This is a five day workweek, from 4:00pm to 12:00am with five rising flexibility. The individual will manage and maintain all business communication of the company’s head executive overnight and ensure that all international business is attended to as needed. The ideal candidate will possess the skill to make quick and efficient judgment calls, determine the priority level and time-sensitiveness of a particular business matter and bring needed details to the CEO’s attention as needed. The candidate will accrue overtime at a rate of time and a half, if and when the position exceeds the above hours per week.

Job responsibilities include, but are not limited to:
• Act as gatekeeper for all respective departments
• General admin support screening incoming calls, taking detailed messages, preparing presentations and filings
• Managing special projects as needed and per request; scheduling internal and external Executive meetings
• Maintaining a busy and ever-changing calendar with constant communication and follow-up
• Assisting with planning, set-up, organization and seamless orchestration of small to large-scale events
• Managing and coordinating all required travel itineraries; both domestic and international
• Handling special requests and related duties as needed
• Additional Receptionist / Concierge duties as needed and requested
 
 
Requirements:

• Strong command of the English language
• Excellent references required from both current and previous employers
• Minimum 1 – 3+ years related experience as an Administrative Assistant; prior experience in the hospitality background a major PLUS
• Superb communication skills, both written and verbal
• Proficiency in PC, Mac and Microsoft Office, as well as iPhone and Blackberry systems
• Utmost discretion in all aspects of the job; both business and personal
• Detail oriented with exceptional organization and task management skills
• Ability to work well collaboratively and in a team environment
• Dedication to responsibilities; proactive and driven attitude; willingness to succeed at all costs
• Ability to assume responsibility without being “monitored;” work well under pressure to make educated judgment calls
• Valid US work authorization
