Prominent company seeks an experienced and energetic Executive Assistant to support CEO/ founder of the firm. Job requires incredible organization for an ever-changing business calendar and complex schedule. Position is based out of the company’s Midtown corporate office and maintains a workweek of Monday – Friday, roughly 8:30am – 6:00pm with flexibility and willingness to work additional hours as needed and upon request. The ideal candidate should excel at proactively anticipating what the Executive may need next. The job requires excellent time management skills and the ability to multi task often. The job also requires providing overall administrative support to the team, and serving as bridge between external and internal contacts to ensure all of the pieces are moving in the right direction.

Responsibilities include, but are not limited to:
• Managing the executive's calendar, prioritizing appointments, spacing things efficiently, and making sure all parties are aware/prepared for any upcoming meetings
• Handle logistics associated with meetings, appointments and conferences, etc.
• Arranging domestic and international travel and logistics; providing accurate detailed itineraries
• Assist with special events planning, including coordinating and executing group activities based on CEO’s directives
• Representing the executive and the company in all communications – as well as in person – for both internal and external commitments
• Proactively manage and prioritize incoming and outgoing communications, including external/internal mail, telephone calls, reports, etc.
• File and organize communications to ensure smooth and timely flow of information in and out of the office; consolidate information from multiple sources to facilitate supervisors’ review
• Create, format and edit correspondence and presentations with precision and minimal direction
• Work independently on specific projects as assigned
• Serving as all around gatekeeper to principal
• Additional Executive Assistant duties as requested

• Minimum 4 year degree from accredited college or university is REQUIRED
• Minimum 10 – 15 years related experience working as an Executive Assistant to a C-level Executive
• Strong command of English language and communication skills, both written and verbal
• Excellent references required from both current and previous employers
• Exceptional organizational skills and dedication to responsibilities; prioritization and efficiency a MUST
• Experience in the Financial Services industry is a PLUS
• Proficiency in both Microsoft Office and PC and Mac iOS 10
• Fast learner with ability to easily grasp and understand new concepts
• Demonstrated ability to operate in a high energy, fast paced environment while maintaining attention to detail
• Strong common sense, is very conscientious, can pick up on queues and is sharply intuitive
• Experience in the Financial Services industry is a PLUS
• Able to adhere to project timelines and meet scheduled deadlines
• Dedication to responsibilities; proactive and driven attitude; willingness to succeed at all costs
• Legally able to work in the United States for any employer
