Description:

Prominent Start Up disrupting the fitness industry seeks an energetic Executive Assistant to support CEO/ founder of the firm of the firm. Job requires incredible organization for an ever-changing business calendar and complex schedule. Position is based out of the company’s Chelsea corporate office and maintains a workweek of Monday – Friday, roughly 8:30am – 6:00pm with flexibility and willingness to work additional hours as needed and upon request. The ideal candidate will have experience working in the Tech Startup industry, where no task is too big or too small. The job requires excellent time management skills and the ability to multi task often. The job also requires support to any other C-Level executive team members when needed.

Responsibilities include, but are not limited to:
• Maintain contacts and calendar, appointment scheduling, departmental meetings, and conference arrangements
• Handle logistics associated with meetings, appointments and conferences, etc.
• Proactively manage and prioritize incoming and outgoing communications, including external/internal mail, telephone calls, reports, etc.
• File and organize communications to ensure smooth and timely flow of information in and out of the office; consolidate information from multiple sources to facilitate supervisors’ review
• Create, format and edit correspondence and presentations with precision and minimal direction
• Make travel arrangements and complete detailed expense reports; confirm meetings and create itineraries for trips
• Follow up on various activities to ensure closure, completion and deadlines are met; may include weekly reports, status updates, meeting follow-up, requests for information, projects, programs, events, etc.
• Create & maintain organized office filing systems for supervisors & self
• Work independently on specific projects as assigned
• Prepare reports and overviews for key meetings
• Serving as all around gatekeeper to principal
• Additional Executive Assistant duties as requested
 
 
Requirements:

• Minimum 4 year degree from accredited college or university
• Minimum 5+ years related experience working in a similar role for the same employer
• Strong command of English language and communication skills, both written and verbal
• Excellent references required from both current and previous employers
• Exceptional organizational skills and dedication to responsibilities; prioritization and efficiency a MUST
• Proficiency in both Microsoft Office and PC and Mac iOS 10
• Fast learner with ability to easily grasp and understand new concepts
• Strong common sense, is very conscientious, can pick up on queues and is sharply intuitive
• Experience in the Tech Startup industry is a PLUS
• Able to adhere to project timelines and meet scheduled deadlines
• Dedication to responsibilities; proactive and driven attitude; willingness to succeed at all costs
• Legally able to work in the United States for any employer
