Description:

Prominent family seeks to hire an experience and professional Executive Personal Assistant to assist with the daily care and upkeep of their residence and attend to any and all needs associated with the family. The position will be based out of the family home in Larchmont, New York with occasional travel to the NYC office as requested. This position consists of a Monday through Friday schedule, from 9:00 am to 5:00 pm with overriding flexibility to work additional hours when needed. The ideal candidate will have basic bookkeeping skills, be highly organized, flexible, trustworthy, exercise good judgment, and reliable.

Job responsibilities include, but are not limited to:
• Coordinating all aspects of the household management including performing accounting related tasks such as paying household bills, tracking personal finances, ensuring all home, vehicle and boat registrations and insurances are up to date and accurate, assist with medical claims, and helping with other projects/tasks as requested
• Negotiating vendor contracts and managing onsite vendors, such as gardeners and potential minor construction projects and repairs
• Coordinating travel arrangements for family
• Running errands and carrying out special requests as needed
• Providing pets care including walking, feeding and playing with dogs
• Additional general Executive Assistant / Administrative Assistant duties upon request; constant need for overriding flexibility and exceeding expectations
 
 
Requirements:

• MUST have BOTH Executive and Personal Assistant experience
• Strong command of English language; outstanding writing and verbal skills
• Bachelor’s degree Preferred
• Excellent references required from both current and previous employers
• Minimum 5 years related experience working in a private home
• Exceptional organizational and time management skills and the ability to multi-task, prioritize work and self-motivate
• Computer and technology savvy with proficiency in MS Office; experience in QuickBooks a plus!
• Polished, poised and professional in both mindset and manor; use of utmost discretion at all times
• Flexibility in scheduling; willingness to work long hours and overtime
• Ability to operate with a high level of integrity for handling sensitive issues and maintaining complete confidentiality.
• Willingness to adapt to an ever-changing and often unstructured environment; ability to manage challenging personalities and high-stress environments
• Valid Drivers License; confident driver with zero points on license
• Must be comfortable around dogs
• Legally able to work within the United States
