Prominent New York-based investment management firm seeks an energetic and efficient Office Manager / Executive Assistant to provide administrative support to one of the Co-Founders of the firm. Duties of the Office Manager / Executive assistant will vary from day-to-day, as the needs of the office will change frequently. The job requires excellent time management skills and the ability to multi task often. The ideal candidate will have experience working in formal setting of financial field, where the position ranges with responsibilities from the grandiose to the minuscule, and no task is too big or too small. This position consists of a Monday through Friday work schedule, roughly 8:30am-6:00pm, with overriding flexibility for longer hours.

Primary responsibilities include, but are not limited to:

• Maintaining a clean, organized, meticulous reception area at all times
• Greeting clients and making sure the overall comfort of all clients upon arriving and leaving the office
• Maintaining a busy and ever-changing calendar with constant communication and follow-up
• Overseeing inventory of office items; managing and restocking supplies
• Responsible for incoming and outgoing electronic correspondence
• Arranging and facilitating daily business and personal appointments
• Handling distribution of mail, copying, faxing, and major filing projects
• Coordinating additional staff to ensure seamless flow-of-day
• Handling special requests and related duties as needed
• Additional general Office Manager / Personal Assistant duties upon request with a constant need for overriding flexibility and desire to exceed all expectations

• Strong command of English language; both verbal and written
• Excellent references required from both current and previous employers
• 4 year college degree is required
• Minimum 1 - 5 years related experience working as a Office Manager, Executive Assistant or a similar field
• Exceptional organizational skills and dedication to responsibilities; prioritization and efficiency a MUST
• Client service driven with a high level of energy and enthusiasm; highly collaborative
• Fast learner with ability to easily grasp and understand new concepts
• Strong common sense, is very conscientious, can pick up on queues and is sharply intuitive
• Strong flexibility as tasks and projects can require last minute changes and execution
• Incredibly tech and computer savvy; proficiency in both PC as well as Mac systems, including but not limited to Office, Internet and email, bill pay, etc.
• Strong organization and planning skills
• Polished, poised and professional in both mindset and manor; use of utmost discretion at all times
• Valid Drivers License; confident driver with zero points on license
• Legally able to work within the United States
