Private CEO seeks an Executive Personal Assistant to serve as a primary gatekeeper and personal assistant. CEO works between NY and Philadelphia and will need an assistant who can be available for remote work on weekends. The schedule is Saturday and Sunday remote with Tuesday – Thursday out of a midtown office. The candidate’s primary responsibilities will be to support the personal business of the principal while communicating with his Philadelphia based Executive Assistants. The candidate will have to assist with travel plans, event coordination, and the daily communications and happenings. He or she will be a trusted partner and liaison with contractors, legal, financial, real estate, insurance, and other professional and personal contacts. While the candidate will primarily offer personal assistance, he or she will have some corporate responsibilities as well. The role requires impeccable communication skills and the ability to prioritize and complete multiple tasks in a skillful and timely fashion. The ideal candidate must be polished, positive, and extremely reliable. The candidate must be resourceful, proactive, and able to work exceptionally well as part of a team.

Responsibilities include but are not limited to:
• Maintaining contacts and calendars; scheduling for both personal and business matters
• Serving as a gatekeeper to the principal; answering phones and emails, tracking shipping and returns etc.
• Remotely overseeing the management of all residences, inclusive of managing employees, service providers, vendors and upkeep
• Running personal errands and completing personal shopping and gifting on behalf of the principal; providing concierge services as needed
• Arranging travel and completing detailed expense reports; confirming meetings and creating itineraries for trips encompassing all aspects of accommodation, meals, venues, entertainment, etc.
• Any and all additional Personal Assistant responsibilities as they arise and upon request

• Strong command of English language; superior communication skills, both written and verbal
• Excellent references required from both current and previous employers
• Minimum 5-10 years related experience working as a Personal Assistant in a similar role
• Bachelor’s degree from a 4 year College or University is required
• Exceptional organizational skills and dedication to responsibilities; proactive with an above and beyond attitude; dedication to the service and success of the principals
• Adept in the use of smartphone technology; flexibility in scheduling with willingness to work long hours and overtime as needed
• Expert in both Mac and PC Systems and programs Microsoft Office Suite; must be extremely tech-savvy
• Utmost discretion in all aspects of the job where integrity, accountability, and loyalty are paramount; highly perceptive and considerate while being able to anticipate the needs of the principal
• Detail oriented with meticulous organization, task management and communication skills
• Self-motivated and able to work independently as well as collaboratively as a team in an office setting
• Valid Passport is preferred; must be willing to travel to additional residences as needed and upon request
• Legally able to work for any employer in the United States
