Description:

Business Management Group seeks an Executive Assistant to serve as primary gatekeeper and professional assistant to Managing Partner. This position requires incredible organization for ever-changing business and personal calendars as well as complex schedules. This is a full time position with regular workdays Monday – Friday, from 8:00am–6:00pm, approximately.

Responsibilities include but are not limited to:
• Maintaining contacts and calendars, appointment scheduling, departmental meetings, and conference arrangements
• Execution of all special requests, both business and personal, with ease in handling multiple simultaneous projects
• Handling logistics associated with meetings, appointments and conferences, etc.
• Proactively managing & prioritizing incoming & outgoing communications, including external/internal mailers, telephone calls, etc.
• Filing & organization to ensure smooth & timely flow of information in and out of the office
• Making travel arrangements and complete detailed expense reports; confirming meetings and creating itineraries for trips
• Maintaining & tracking expenses, crafting comparison reports using various financial software, etc.
• Following up on various activities to ensure completion and deadlines are met; including weekly reports, status updates, meeting follow-ups, requests for information, projects, programs, events, etc.
• Identifying & implementing best practices throughout work processes; standardizing usage throughout merchandising team
• Working independently on specific projects as assigned
• Facilitating new employee set-up; ordering and managing all office supplies
• Additional Executive Assistant responsibilities as needed and upon request
 
 
Requirements:

• Strong command of English language; superior communication skills, both written and verbal
• Excellent references required from both current and previous employers
• Minimum 5+ years related professional experience
• Experience working as an Executive Assistant / Office Manager in a similar role
• Exceptional organizational skills and dedication to responsibilities; above and beyond attitude; superior client relationship management and incredible customer service skills
• Flexibility in scheduling with willingness to work long hours as needed
• Excellent references required from both current and previous employers; must have longevity in previous roles
• Proficiency in both Microsoft Office and Mac OSX, as well as iPhone, Blackberry and related technologies
• Utmost discretion in all aspects of the job; both business and personal
• Detail oriented with exceptional organization and task management skills
• Dedication to responsibilities; proactive and driven attitude with a desire to succeed at all costs
• Valid passport, available for occasional travel
• Authorized to work within the United States
