Private family seeks a professional assistant to serve as Estate Manager and Project Manager for their three residences. The position’s primary responsibility will be property management both private and rental, supervising construction and renovation projects, overseeing all vendor and contract communication, maintaining household inventory, buying and selling furniture and updating manuals, contacts, and insurance, etc. The family consists of Mr., Ms., and two cats. The main residence consists of a 4,000 sq ft home in Pelham, NY. Renovations at two additional properties are ongoing in Tribeca and the West Village. The ideal candidate will be able to travel between all three residences, visiting properties and overseeing all projects as needed. Much of the typical workday will be performed off site, with 1 to 2 days per week in Pelham.

The ideal candidate will be able to implement a wide variety of new systems and organizational structure throughout the estate. This includes all upkeep and operations of each residence, liaising with tenants, budgeting and accounting tasks, and timeline projections. Additional support to the family including family calendar management, travel arrangement, as well as, taking caring of pets will be required. The schedule is Monday to Friday, 9:00am-6:00pm with an overriding need for flexibility.

Responsibilities include but are not limited to:
• Assisting with calendar planning, scheduling, travel coordination and logistics
• Managing owner and tenant relations as related to secondary residences in NYC
• Implementing new estate-wide systems including but not limited to, operating manuals, day-to-day punch lists, household supply lists, etc.
• Updating principle of timelines and project status’ on a regular basis
• Strong bookkeeping / accounting skills with the ability to formulate and adhere to budgets
• Demonstrating a hands-on approach to home upkeep
• Maintaining residences for guest readiness at all times
• Managing all vendor and contract relationships and overseeing all deliveries and general maintenance of the residence
• Pet caring is a key part of the daily job: two cats
• Stocking procurement, minor grocery shopping, running errands, limited personal shopping for principals
• Running errands and carrying out special requests as needed
• Any and all additional Estate Manager / Project Manager responsibilities as they arise and upon request

• Strong command of English language; superior communication skills, both written and verbal
• Excellent references required from both current and previous employers
• Minimum 5 – 7 years related experience working as an Estate Manager / Personal Assistant / Property Manager
• Bachelor’s degree from a 4 year College or University is REQUIRED
• Exceptional organizational skills and dedication to responsibilities; proactive with an above and beyond attitude; dedication to the service and success of the principals
• Adept in the use of smart home technology, specific use with Lutron a plus; expert in Mac operating systems
• Experience performing minor accounting related tasks; keeping track of finances, bills, receivables via accounting software
• Detail oriented with meticulous organization, task management and communication skills
• Self-motivated and able to work independently as well as collaboratively as part of a team
• Legally able to work for any employer in the United States
