Description:

Prominent brand seeks an Executive Assistant. Job requires incredible organization for an ever-changing business calendar and complex schedule. Position is based out of the company’s Midtown corporate office and maintains a workweek of Monday – Friday, roughly 8:30am – 5:30pm with flexibility and willingness to work additional hours as needed and upon request.

Responsibilities include, but are not limited to:
• Maintain contacts and calendar, appointment scheduling, departmental meetings, and conference arrangements
• Handle logistics associated with meetings, appointments and conferences, etc.
• Proactively manage and prioritize incoming and outgoing communications, including external/internal mail, telephone calls, reports, etc.
• File and organize communications to ensure smooth and timely flow of information in and out of the office; consolidate information from multiple sources to facilitate supervisors’ review
• Create, format and edit correspondence and presentations with precision and minimal direction
• Make travel arrangements and complete detailed expense reports; confirm meetings and create itineraries for trips
• Maintain & track expenses vs. budget & reviews monthly with Assistant Controller
• Follow up on various activities to ensure closure, completion and deadlines are met; may include weekly reports, status updates, meeting follow-up, requests for information, projects, programs, events, etc.
• Identify & implement best practices throughout work processes & recap formats
• Create & maintain organized office filing systems for supervisors & self
• Work independently on specific projects as assigned
• Prepare reports and overviews for key meetings
• Additional Executive Assistant duties as requested
 
 
Requirements:

• Minimum 4 year degree from accredited college or university
• Minimum 3 – 5+ years related experience as an Executive Assistant or Executive Personal Assistant
• Excellent references required from both current and previous employers
• Superb communication skills, both written and verbal
• Proficiency in both Microsoft Office and PC and Mac iOS 10, as well as iPhone and Blackberry systems
• Utmost discretion in all aspects of the job; both business and personal
• Able to adhere to project timelines and meet scheduled deadlines
• Detail oriented with exceptional organization and task management skills
• Dedication to responsibilities; proactive and driven attitude; willingness to succeed at all costs
• Valid passport; willing to travel both domestically and internationally as needed
• Legally able to work in the United States for any employer
